A controlled GAP cancellation and refund process identifies the triggering event, confirms the contract terms, calculates any applicable unearned amount, applies or returns funds correctly, reconciles every party’s records, and gives the member a clear status and outcome.
Cancellation is not complete when a request is forwarded. The credit union needs named owners, evidence, timelines, reconciliation, exception handling, and reporting from request through final loan or member-account application.
Define every cancellation trigger
- Member-requested cancellation
- Early payoff or prepayment
- Refinance
- Vehicle sale or trade
- Repossession
- Total loss or theft
- Contract correction, ineligibility, duplication, or unwinding
- Provider, program, or jurisdictional change requiring action
Use one controlled intake process
Receive
Capture the member or operational request, contract, loan, vehicle, reason, event date, and supporting documents.
Acknowledge
Tell the member who owns the request, what is needed, and how status updates will be provided.
Validate
Confirm the applicable contract, cancellation right, effective date, responsible party, and calculation method.
Submit
Send complete information through the approved provider or administrator channel and retain evidence.
Verify the calculation before funds are applied
The contract and applicable requirements control whether a refund is available and how it is calculated. The credit union should understand the calculation inputs rather than treating a provider total as self-validating.
- Original price, contract date, effective cancellation date, elapsed time or mileage, and stated method
- Permitted fees, claims or benefits paid, chargebacks, and other contract adjustments
- Payoff balance, loan status, lienholder rights, and whether funds apply to principal or are returned another way
- Calculation evidence sufficient for independent review and member explanation
Reconcile the complete money and record flow
- Provider or administrator cancellation record
- Credit union servicing and general-ledger record
- Dealer, seller, or other party record when involved
- Loan principal application or member payment record
- Member notice showing the effective date, amount, application, and remaining balance context
- Exception report for missing, late, mismatched, or unapplied refunds
Monitor timeliness and recurring breakdowns
- Request-to-acknowledgment, request-to-calculation, and calculation-to-application time
- Volume and amount by trigger, channel, provider, and product
- Missing documentation and repeat member contacts
- Calculation disputes, unapplied funds, reconciliation breaks, complaints, and escalations
- Corrective-action owners, aging, retesting, and management reporting
